Plan your CRM migration: back up first, then test.

Moving a client list is only the beginning. Contract, listing and agent relationships, media files and existing website URLs need just as much attention.

1 · Scope

List your data sources and who is responsible

Establish what is stored in the current CRM, in WordPress and in separate files. Back up the source and agree who is authorised to share migration data.

  • Clients, properties, searches, contracts and transactions.
  • Agent and office assignments, statuses and currencies.
  • Photos, floor plans, attachments and public website content.

2 · Mapping

Match the meaning of fields, not just their names

Two systems may interpret a contract stage or client type differently. Define field mapping, duplicate rules and identifiers that preserve relationships after import.

  • Identify required fields and values that cannot be transferred directly.
  • Preserve document ownership and record relationships.
  • Check whether media are accessible files or only references to old URLs.

3 · Trial import

Accept the data on an isolated copy

Estate Office includes WordPress–CMS and CMS–CMS migration mechanisms. Their suitability depends on version compatibility and the source structure. Other CRMs require a separate export analysis.

  • Compare record counts and inspect representative cases.
  • Open photos, contracts and linked records after import.
  • Check visibility as an agent and manager, not only as an administrator.

4 · Switching over

Plan the launch and the recovery path

Agree when the final backup and import will happen and how the team will work during the switch. If the website changes, map old URLs to their new equivalents.

  • Redirect old pages to matching content, not every address to the homepage.
  • Check forms, indexable URLs and the property catalogue.
  • Retain the pre-migration backup and an agreed recovery procedure.

Questions before migration

Is migration from any CRM automatic?

No. We first assess the export format, relationships and media. Scope, cost and manual work are agreed after analysis.

Should I send the full database through the contact form?

No. Do not include client records or passwords in the first enquiry. Describe the system, approximate record counts and available export formats. A secure transfer method can be agreed separately.
