How to choose a real estate CRM: test one complete client case.

A feature list does not tell you how often agents retype the same information. Prepare a fictional client, property and contract, then walk through the whole workflow using test data.

Can a client record lead you to the right contract and property?

Create a fictional client, assign an agent and add a linked contract. Check whether you can find the information later without opening several disconnected lists.

  • Does the system handle individual and business clients?
  • Are the contract stage, responsible person and subject of the case visible?
  • Can the agent move directly to the linked property or search?

2 · Publishing

Does your website listing remain part of the CRM workflow?

Complete property details, description and photos, publish the listing on a test site, then change one detail. Check the result on a phone and computer.

  • Test your own website separately from external portal connectors.
  • Check agent contact details and the enquiry form’s destination.
  • Establish who approves publishing and pays for portal accounts.

3 · Roles

What does an agent see, and what does a manager see?

Do not assess the system only through an administrator account. Use at least two roles and records assigned to different people.

  • Does data access match your office structure?
  • Can a user without permission change another person’s case?
  • Is reassignment of a client clear to the team?

4 · Completion and maintenance

What happens after the transaction is signed?

Check commissions, settlement stages and the currencies you use. Beyond the CRM screens, agree on backups, updates and recovery after a failure.

  • Request a test import before migrating the full database.
  • Assign responsibility for hosting, updates and backups.
  • For applications, verify the supported server, device and internet requirements.

How much data do I need for a meaningful test?

Start with a small fictional dataset: an individual, a company, two roles, a property, a search, a contract and a transaction. A complete workflow matters more than the number of imported records.

Can a CRM ranking replace this test?

A ranking can help you discover products, but it does not know your agency’s processes. Base the decision on your own scenario, licence terms and implementation scope.
